NYULH Email Builder

Generate ready-to-paste HTML emails for NYU Langone Health campaigns and eNews newsletters from Google Docs copy documents and UTM tracking spreadsheets.

Before You Start

You will need:

This builder supports two email types: Campaign Emails (fundraising appeals, Doctors Day, Innovation, EOY, etc.) and eNews Newsletters (multi-story "Tomorrow I Will" format). Select the correct type before generating.

Email Types

Campaign Emails

Simple appeal-style emails: logo, hero image, body text, and a solid purple CTA button. Used for Doctors Day, Innovation Campaign, EOY, Fall Campaign, Giving Tuesday, and similar fundraising appeals.

Google Doc format: Each email starts with yellow-highlighted text containing the email name and date. Followed by Subject: and Preview text: labels, an optional hero overlay table, and body paragraphs. Buttons use [Square Brackets].

eNews Newsletters

Multi-story newsletters with the "Tomorrow I Will" purple banner, multiple article sections (each with category subheader, headline, body text, and outline button), and optional dashboard/stay-in-touch sections.

Google Doc format: Starts with green-highlighted text containing the audience name. Followed by Subject/Preview labels, a "Tomorrow I Will" banner table, then stories marked by BOLD UPPERCASE category headers. Buttons use [Square Brackets].

1 Export Your Google Doc as HTML

  1. Open the copy document in Google Docs.
  2. Go to File → Download → Web Page (.html, zipped).
  3. A .zip file will be saved to your Downloads folder.
  4. Extract the zip file:
    • Windows: Right-click the .zipExtract All… → click Extract.
    • Mac: Double-click the .zip file. A folder will appear beside it.
  5. Open the extracted folder. Inside you will find an .html file — this is the file the builder needs.

2 Select Email Type & Upload Files

  1. Open the NYULH Email Builder in your browser.
  2. Select the email type — choose Campaign Email or eNews Newsletter using the radio buttons at the top.
  3. Drag & drop the exported .html file onto the first drop zone.
    Or click the drop zone to browse and select the file.
  4. Drag the UTM tracking spreadsheet (.csv) onto the second drop zone.
  5. Click Generate Emails.
The builder will auto-detect the email type from the Google Doc (yellow highlights = campaign, green highlights = eNews), but selecting the type first ensures correct parsing.
The tool runs entirely in your browser. Nothing is uploaded to the internet.

3 Add Image URLs

After generating, the review screen shows Image URL input fields below the metadata card:

When you enter an image URL and press Enter or click away, the email HTML will regenerate with the new image embedded.

Image URLs should point to images hosted on the NYULH server (e.g., giving.nyulangone.org/images/... or secure2.convio.net/nyulmc/images/...). Images should be 600px wide.

4 Review & Copy HTML

The review screen has several areas:

Email Sidebar (left) Lists all emails by name. Click any email to switch to it.
Metadata Card (top) Shows subject line, preview text, sender, and email type for the selected email.
Segment Pills Toggle between audience segments (General, Alumni, etc.). Each segment gets the same body content with different UTM tracking codes.
HTML Editor The raw HTML code. You can edit it directly if needed.

Using the Preview

Click the Preview button to see a live preview with full NYULH branding — header logo, body content, footer with social links. The preview updates automatically when you switch emails, change segments, or edit the HTML.

Copying to Luminate Online

  1. Select the email and segment you want.
  2. Click Copy HTML to copy the body HTML to your clipboard.
  3. In Luminate Online, paste the HTML into the email body area.
  4. Select the appropriate stationery wrapper in Luminate Online (e.g., NYULH Giving or NYU Grossman School of Medicine).
Remember to copy each segment separately. Switch segments using the pills, then copy each one for the appropriate Luminate Online email message.

How Segments Work

NYULH emails use the same body content across segments — only the UTM tracking codes differ. When you upload the tracking spreadsheet, the builder automatically detects segments from the email names (e.g., "General", "Alumni", "Unengaged") and generates a version for each with the correct tracking URLs.

Switch between segments using the pills at the top of the review screen. Each segment has identical body copy but different tracking parameters in all links and buttons.

Tips & Troubleshooting

Problem Solution
“No emails found” error Make sure the Google Doc uses highlighted text to mark email/audience boundaries. Campaign docs need yellow highlights; eNews docs need green highlights. Also verify you selected the correct email type.
You see {need UTM} in the HTML Upload the UTM tracking spreadsheet and regenerate, or manually replace these placeholders with correct tracking URLs from the NYULH tracking links spreadsheet.
No segments appear (only "Default") Upload the UTM tracking spreadsheet. Segments are auto-detected from the email names in the CSV (e.g., "General", "Alumni", "Unengaged").
eNews stories are missing or merged Check that each story in the Google Doc starts with a BOLD UPPERCASE category header on its own line (e.g., PATIENT CARE). This is how the builder detects story boundaries.
Images show placeholders Images are provided separately. After generating, paste the image URLs into the Image URL fields in the review screen. Images should be 600px wide.
Buttons not detected Make sure button text uses [Square Brackets] on its own line, e.g., [Give now] or [Read more]. Do not use angle brackets.
The drop zone does not accept the file Confirm the file has an .html or .htm extension (for the doc) or .csv / .xlsx (for the UTM file). If you downloaded from Google Docs as a .zip, extract it first.
